How an IT Relocation Is Planned
1. Site Survey and Asset Audit
We walk both sites with your IT lead or provider, recording what is being moved, where it needs to end up, and what the access constraints are at each end — lift dimensions, door widths, loading bay availability, and whether the new comms room is actually ready to receive a rack. Every asset is logged, and serial numbers can be captured where you need an inventory for insurance or asset management.
2. Labelling and Photography
Before anything is unplugged, we photograph the back of every rack, workstation and comms cabinet. Cables are labelled at both ends, ports are recorded, and each user’s equipment is tagged to their name and new desk position. This is the step that separates a smooth reinstallation from a day of troubleshooting.
3. Decommission and Packing
Your IT team or provider handles the shutdown sequence and any data backups; we handle the physical decommission. Equipment is anti-static bagged where appropriate, packed into purpose-built crates or foam-lined cases, and loaded so that nothing is stacked on anything fragile.
4. Out-of-Hours Transport
Most IT relocations run overnight or across a weekend so that staff arrive to a working office. We routinely work Friday evening to Sunday, and can phase a move across multiple nights where the business cannot tolerate a full shutdown.
5. Reinstallation and Handover
At the new site we position and reconnect equipment to the agreed floor plan, re-rack hardware in its recorded order, and reunite each user with their labelled kit. Your IT team then powers up and tests. We stay on site until sign-off rather than leaving crates in a corridor.
Protecting Sensitive Hardware in Transit
Server and storage hardware is far more vulnerable to shock and vibration than its solid casing suggests. Spinning hard drives, rack rails and PCIe cards can all be damaged by impacts that would leave a filing cabinet untouched, and the damage is frequently invisible until the equipment is powered up.
We de-rack heavy equipment rather than moving fully loaded cabinets, which removes the centre-of-gravity problems that cause racks to tip on ramps and in lifts. Items are foam-protected, secured against load bars, and transported without stacking. Loose components — rails, blanking plates, screws, power leads — are bagged and kept with their parent unit rather than thrown into a communal box.
All equipment is covered by goods in transit insurance throughout. For high-value server and data centre hardware, tell us the replacement value at the survey stage so we can confirm cover levels in writing before the move.
Data Security and IT Disposal
Equipment in transit still carries data, and under UK GDPR that data remains your responsibility while it is on the road. Our vehicles are lockable and never left unattended with IT loads aboard, drivers handling business equipment are DBS checked, and we can operate under your own NDA where required.
Relocations almost always generate redundant hardware. Rather than leaving old machines behind for someone else to deal with, we collect end-of-life equipment for WEEE-compliant disposal at licensed facilities. Where drives contain business data, arrange certified data destruction through your IT provider before collection, or ask us to coordinate it — we will not simply skip machines with drives still installed.
